Anthrocon Artists Alley Official Rules, Terms, and Conditions

By participating in Artists Alley, you are agreeing to abide by these Rules, Terms, and Conditions outlined herein. Furthermore, you acknowledge that the interpretation and enforcement of these official Rules is solely the jurisdiction of Artists Alley
Management. Attempting to circumvent these rules, or engaging in any practice that is deliberately contrary to management interpretation of these Rules is strictly prohibited. Individuals found to be deliberately violating these Rules may be subject
to administrative action, up to but not limited to removal from the convention.


Welcome to Anthrocon Artists Alley, a place for artists to sell their original works of art.

--Anthropomorphics conventions are traditionally very art-intensive, and Anthrocon is no exception.
--Each year we set aside a place for artists to show off their work, sell their products, and work on commissions for customers.

--Known as Artists Alley, this area is available to all artists on a lottery basis.

--Space is limited, but we do our best to accommodate as many artists as possible.

--The Artists Alley is not the Dealers Room, and is not intended to be used as a free alternative to it.

Table of Contents

  • There is no required fee to participate in Artists Alley.
    • Anthrocon will collect a 5% commission on all sales in the Alley.
    • This commission will be assessed at end-of-day cash-out.
  • All sales must be processed by Anthrocon Staff.
  • Artists are not required to have a Pennsylvania Tax ID.
  • Initial seating is determined by lottery, and on a first-come first-served basis once the Alley opens.
  • You must sign up online to be entered for a seat in the Alley lottery.

    • On-line signups open after pre-registration opens.
    • See top of this page for dates.
  • No personal belongings or items for sale may be stored in Alley overnight.
  • No electrical power will be available in Artists Alley.
  • Artists may only sell work of their own creation. Collaborations are disallowed.
  • Artists may not receive tips in the Artists Alley.
  • Space usage in the Alley is restricted.
  • You must be at least 18 years of age to participate in Artists Alley.

Artists Alley will operate on a lottery system to assign seats prior to the convention. During the convention, seats will be available on a first-come first-served basis.

The system is designed to give every artist a chance at getting a table for at least one day, and possibly more.

To register/enter the lottery for a seat in the Alley, follow these steps. Lottery signups are handled online, ahead of the convention.
  1. Pre-register for the convention prior to signing up. Note that due to registration not providing badge numbers up front in 2018, you may now register for the lottery without a badge
    number, however all applications will be vetted, and only pre-registered attendees will be eligible for the lottery. You may not partcipate in Artists Alley until you are a registered attendee Any applicant not pre-registered at the
    time of the lottery drawing will be removed from the lottery pool.
  2. Sign up on the lottery list on-line. Use this form to signup. Signups will open and
    close on the dates shown at the top of this page. There is no cost to sign up. If you are not able to sign up before the signups close, please see the Stand-by section below.
  3. Check lottery results on-line. After signups close, a lottery will be conducted, and results will be posted to the Alley website prior to the convention, listing lottery winners, and
    the day or days they have won seats. The lottery will be completly randomized;. There is no assigned seating in Artists Alley, and requests for specific seats cannot be honored. The results will also be available at the convention
    via our on-site registration desk. Details on how exactly the lottery will be run can be found here.
  4. At the convention, arrive promptly. On each day you have won a seat, you must show up and officially claim your seat. Lottery Winner checkin will occur no earlier than 1 hour prior
    to Alley opening, and you must claim your seat prior to 10 minutes before Alley opens. If you are late, you will not be able to claim your seat until after the Alley opens. Ten minutes after Alley opens, you may lose your seat to someone on
    the standby list, as we will begin filling all unoccupied seats at that time.
  5. Check in with us. Check in at the Alley Check-In desk, located on Concourse B, next to Registration. There you will be provided with a receipt book and a sheet of barcode stickers to
    use with that receipt book. It will help us accurately process your sales. Acceptance of these two items secures your seat in the Alley, and you will also be issued a pass into Hall C prior to business hours. Seats are not transferable! Receipt
    Books will be collected at the end of the day, you should keep your barcodes if you intend to come back the following day. If you do not show up on time to claim your seat, it may be given to someone on the standby list.
  6. Claim your space. When you enter Hall C, you may select any seat that is still unoccupied. You may not save seats for other artists. If you wish to sit together with certain other artists,
    make sure to arrive together and claim your spots together.
  7. Record your location. Before we open for the day, but after you've settled in, come to the Artists Alley Front Desk to help us make the day's Alley map by recording your name and location
    on our map. The map will be conspicuously posted where customers can find it. This is MANDATORY, as the map is our first line of communication to customers looking for your seat!
  8. Sell Sell Sell! You may begin making sales as soon as customers are allowed into Hall C (Note: You may begin making sales earlier than Alley's posted opening time for Supersponsors,
    but sales will not be processed until Artists Alley official opening time).
  9. Let us handle the money! Due to State/Local laws and regulations, as well as contractual obligations with the Convention Center/Hotel, as an Artists Alley Participant, you may not make
    direct sales with any customer, even if you have a Pennsylvania Sales Tax License. This means that while you are in the David L. Lawrence Convention Center or the Westin Hotel, no monies may exchange hands between you and your customer. Reference
    Section IV for instructions on how the consignment system works at Anthrocon, using receipt books and barcode stickers.

If you didn't win the Artists Alley lottery, or sign up for it, you may still be able to get a seat at the convention. If other artists fail to show up on time, or later in the day an artist chooses to leave early, you may receive a seat on a first-come
first-serve basis. Below are the steps required to give you the best chance:

  1. "Take a number". Backfills into the Alley will be handled on a first-come first-serve basis. Form a line in the designated area near the Artists Alley Front Desk, and we will begin
    signing Artists up in the order you appear using the on-site "deli" system. We will not begin signing up new artists using this system until approximately 10 minutes after the opening of the Alley. We typically have a limited number of available
    seats, so you will want to arrive in the waitlist line as early as possible once Alley has opened. Be sure to provide us with correct contact information so that we can contact you if needed. Even if you are in the lottery system, you will
    still need to wait for a chance to back-fill a table on any of the days you did not win a seat.
  2. Be available. When your turn comes up in line, you will need to be present to claim your table. If you leave the line, we will process the next available person in line when a seat
    is open.
  3. Watch postings for the current number of available seats. When tables become available, we will endeavor to post that information. We'll do this in several ways if possible:

    • Posting on a sign. We'll post the current number of tables available on a sign and display it as visibly as possible near the waitlist line at the Artists Alley Command Center.
    • Posting on Twitter. We will try to post table availability numbers to @anthrocon_alley on Twitter with the hashtag #ACAlley2018.
  4. Come and get em.. When you see a notification that seats are available, hurry to the Artists Alley for a chance to get a seat. Note that due to the fast-paced nature of the Artists
    Alley, seats might fill before we can post to Twitter or change the sign. We apologize for the inconvenience, but with many others waiting for a chance at a table, available seats fill fast.

Although Artists Alley tries to be as fair as possible to give everyone a chance to get a seat, we cannot guarantee everyone will get one. This is particularly true if you're not at the con for the full weekend, if you do not enter the stand-by
list for each day, or if we get more artists signing up than we have seats (with the current layout that's 128 seats over 3 days, or 384 seats). If you require more certainty for your visit, we invite you to pursue one of our Dealers Room tables.

No portion of these Rules of Conduct shall be taken to counteract, rescind, modify, or otherwise interfere with the Official Anthrocon Standards of Conduct. All rules of conduct outlined in that document are applicable in Artists Alley, and violation of those Standards may result in removal from Artists Alley.

Summary: Artists Alley is for artists to sell their own goods at their own table. Hide your adult stuff against exposure to minors, stay at your table, keep your space tidy, and clean up when you leave. Bring only a small amount of
stuff. Be nice to your neighbors and customers. Let us handle all payments. Don't do anything illegal or unsavory, and try to stay cool.

  1. Anthropomorphic theme. Items offered for sale in the Anthrocon Artists Alley should be related to the scope of the convention (i.e., anthropomorphics and related fields), or directly
    related to the convention theme.
  2. Participant Age. All participants in Anthrocon's Artists Alley are required to be at least 18 years of age (the legal age of majority in Pennsylvania) on or prior to, the first day
    of the convention, in order to participate in Artists Alley.
  3. Regarding mature/adult artwork. Items and artwork of an adult or mature nature may be sold provided they are kept from general public view. Such items must be covered or similarly shielded
    according to specifications listed below.

    • Censoring Artwork. Artwork containing mature or adult material will be considered as conforming to the censoring requirement if either of the following are entirely fulfilled:

      1. Mature or Adult artwork may be stored in a separate section of a combined binder/portfolio, physically separated by a clearly defined notice indicating that the latter pages contain mature/adult work using the phrase "For Adults
        Only" or similar warning, AND all offensive/mature aspects are covered by Post-It notes, stickers, or similar obscuration methods, OR
      2. Mature or Adult artwork may be stored uncensored in a clearly-marked, completely separate binder/portfolio which must be kept closed by the artist at all times it is not being viewed by an adult customer, AND the
        artist must make a good-faith effort to ensure no minors gain access to view the materials. Items containing uncensored artwork must be clearly labeled with a notice such as "Explict Material: For Adults Only" or similar.

      Anthrocon Artists Alley Management reserves the right to request an artist make additional efforts to censor material as necessary, up to and including requiring that the artwork be removed. Questions should be directed to Anthrocon
      Artists Alley Management.

    • Eye of the beholder. The decision regarding what is and what is not appropriate material for display will be solely the jurisdiction of Artists Alley Management, and their decision is
      signs, banners, standing displays, etc. must therefore abide by a strict "PG" or less rating. Any display that may be damaging to Anthrocon's public image is strictly forbidden. Failure to remove offending materials may result in removal
      from Artists Alley.
    • Identifying minors. Minors will be clearly identified by their alternative membership badges. Minor badges have an orange background behind the name, and a bright orange reverse side
      of the badge. If you have questions, please contact Artists Alley Management. It is solely the responsibility of the Artist to ensure that minors are not permitted to view, handle, or be otherwise exposed to adult materials. If you
      are in doubt, you may ask your client for alternate identification before allowing him or her to view mature/adult materials.
    • Major Minor consequences. Artists who are found to be displaying adult-oriented items in such a fashion that they can be viewed by minors and/or openly by the general public will be
      afforded a single warning; further incidents will result in that artist being removed from the Artists Alley, and possible further administrative action. Please note that in the case of disagreement, the opinion of the Artists Alley
      Manager as to the suitability (or lack thereof) of wares for general display will be final.
  4. Space constraints. ARTISTS ALLEY IS NOT A "CHEAP DEALER TABLE." Treating it as such may subject you to removal from Artists Alley. It is for artists to create and sell
    artwork, not for merchandise vendors. Each artist is allotted approximately 36" x 30". In lieu of complex rules attempting to define the distinction between "art" that we'd like to see in the Artists Alley and "merchandise" better suited for
    the Dealers Room, we are implementing objective controls on the table space itself. If you have more material than will fit within these space constraints, or if you are counting on making more revenue than these conditions will allow, get
    a Dealers Room table.

    • Do not move the tables. Ever. If there's a table that needs to be moved, contact Artists Alley Management.
    • Do not move the chairs outside your reasonable work space (you may NOT take chairs to other tables, where they sit is where they stay).
    • You may not have any additional chairs, tables, benches, or other personally-furnished (or repossesed furniture from other tables) in your space!
    • Standing displays taller than 15 inches on the table are prohibited.

      • Wire displays and similar are allowed on the table, provided they conform to the above dimensional requirements
    • Stacking items higher than 15 inches above the surface of the table is prohibited.
    • Placing displays on the floors is prohibited.
    • Additional freestanding tables, trays, desks, filing cabinets, totes, racks, and any other methods of freestanding storage (no matter how creative) are prohibited.
    • Items placed on the floor are prohibited, with the exception of the following items:

      1. One (1) small personal item, such as a purse, small backpack, or briefcase. This definition of size is similar to what airlines refer to as “a small personal item” for carry-on.
      2. Completely empty containers. such as small boxes, a milk crate, or a small carry-on suitcase. We understand you have to transport some stuff to the table, but everything you bring in those transports should be on the table. If you have so many things
        to sell that you need extra storage under or around your table, you may instead wish to consider getting a Dealer Table.
      3. Stacks of sketchbooks customers have given to you for commissions are exempted. Commissions are at the core of what Artists Alley values, and we hope you will sell lots of commissions. We understand many customers want the drawings they paid for to be
        done in their own sketchbook, so you can have as many of these at your table as you need.
    • No encroaching or overhanging. All items must remain in the space provided without encroaching on the spaces to either side of yours, and without hanging over the surface of the table. You may drape a sign in front of your table, but if you have so much
      stuff to sell that it won't fit in the space, you may instead wish to consider getting a table in the Dealers Room.
    • No shelving or similar storage units are allowed on the table top, with the exception of a wireframe display conforming to the space requirements above for clipping badges and artwork.
  5. Alley space is for Alley artists only. The only people who should be behind Artists Alley tables are artists who have participated in the Artists Alley lottery or on-site signup and
    are approved to be participating in Alley that day. At no time is it permissible for anyone else to be behind the tables with you. This means that you may not invite friends to sit behind the table with you. This means that you may not allow
    customers behind the tables with you. This means that every single person behind the tables should either be an artist that has a sheet of barcodes and a receipt book, or have an Anthrocon Staff Badge and be working in Artists Alley. NOTE:
    This restriction does not apply to service animals. If you have questions or special circumstances that require accomodation, please contact Artists Alley Management.
  6. Show and Sell. Seats are available to artists wishing to display and sell artwork of their own creation. If you are not displaying and selling your own artwork, you must not occupy
    a spot in the Alley. Displays may be public, private, or a combination, provided they conform with the rules for proper display of material to minors.
  7. Your art only! Sales of anything other than artwork of the artist's own creation is prohibited in Artists Alley. Examples include but are not limited to: collaborations, CDs containing
    art from multiple artists, calendars made by multiple artists, designer medium not designed by you, and so on. Art based on tracings with or without permission will be considered collaborations, and are thus prohibited. Artists Alley Management
    retains the right to make decisions on what is/is not considered appropriate usage of Artists Alley.
  8. Not selling is not sitting. If you have nothing for sale, and you are not displaying any of your own artwork, you must forfeit your seat for the day. Please don't claim a seat in the
    Alley if you are not intending to sell anything; it's great to have artists exhibiting their work as they are created, but it is unfair to artists on stand-by who have things to sell.
  9. No Agent Smiths. Acting as agents for artists, and/or reselling other people's art is prohibited. Such items are for the Art Show, or Dealers Room, not for Artists Alley.
  10. Table presence. The table must be occupied by the artist for the entire time the table is assigned to that artist. We understand that artists, like other attendees, are here to enjoy
    the convention and need to eat, drink, etc, but we also know that there are often more artists than seats, and so in fairness to those waiting for a seat to open, occupied seats should be as active as possible.
  11. It's a sign! If you must leave briefly, please leave a sign behind indicating by when you expect to return. Use absolute times only- "back in 15 minutes" or "BRB" is not helpful to
    the hopeful customer, but "back at 3:15 PM" is. Vacancies exceeding 30 minutes are considered excessive, and will be considered a forfeit of your seat for the day. Inquiries will be made if we notice that a seat is repeatedly left vacant for
    long periods of time, or if a substitute is in place for longer than is reasonable. If a true emergency is pulling you away, contact Artists Alley Management or Security on your way out.
  12. Too long. If you are gone too long and we must evict you from your seat in your absence, you will forfeit your seat for that day. NOTE: if you are a lottery winner, you will still be
    eligible for other days you have a seat in Alley. If you left anything behind, your possessions will be moved to the Artists Alley Command Center in the presence of Security, and your seat may be given to another artist in the "Stand-by" queue
    (see 1.1 : How to get into Artists Alley). In such cases, we will make every effort to secure your belongings, but we have no lockers, and we cannot be held responsible for losses sustained while your table was unattended.
    To reduce your risk as much as possible, please help us avoid having to do this by keeping any absences short. If you really need the freedom to be away from your table for long periods of time, we encourage you to pursue a Dealer Table.
  13. Panelist claws. Exceptions will be made for panelists. We appreciate you providing our convention with content! If you are a panelist on a day you won a seat in the Alley, you must
    tell us as you check in precisely what panel you are conducting and when it is scheduled for. You will be allowed to vacate your seat for the panel, including reasonable travel time to and from the panel location, but we request that you limit
    your absence as much as possible.
  14. Leaving the Alley early

    • Take payment records! If any seated artist chooses to leave before the end of the day, they must remove all of the Artist's Copy (white slips) from their receipt book and turn in said
      receipt book to the Artists Alley Management. Note that we are unable to pay artists until the end of each day. Exceptions may be made in the event of emergencies.
    • One way exit. We will offer your vacated seat to the next person in line, per 1.2 : How to get into Artists Alley. Because of this, we cannot give you your seat
      back once you've left. This only applies to the day you left early- if you have won a seat on other days, those are handled as normal.
    • One Way Door Out. All materials must be removed from the table when the artist checks out. Anthrocon accepts no responsibility for materials left unattended. This includes artwork, personal
      items, etc. Belongings must be packed up immediately following closing, and artists must proceed to checkout as expeditiously as possible. Belongings may NOT be left with friends, guardians, or other artists to hold while an artist
      checks out! During check-out, NO ONE should be at the tables, and per the Artists Alley rules, all belongings must be able to be carried or rolled out in a 2-wheel piece of luggage in a single trip (e.g you can take it through the
      checkout line with you and leave the Alley immediately afterwards). Loitering will be grounds for dismissal from Alley. You must depart immediately after being cashed out by Anthrocon Staff. There is NO reentry to Artists Alley, so
      again, DO NOT LEAVE ANYTHING BEHIND WHEN YOU CHECK OUT. Contact Anthrocon Artists Alley Management with any questions or requests for special accomodations.
    • Clean up. We request artists to kindly to remove any garbage before leaving the area. Anthrocon is responsible for leaving the Convention Hall in a "broom clean" condition. We are assessed
      a steep fee if unreasonable amounts of garbage, empty boxes, etc. are left behind when the room is vacated. Trash receptacles will be provided, especially for teardown on Sunday. Any artist who leaves an excessive amount of waste behind
      in his or her area will be responsible for a $100 cleaning fee, payable to Anthrocon, Inc, and will be ineligible to participate in Artists Alley in the future.
    • Return your receipt book. All receipt books must be returned to Artists Alley Staff upon leaving the Alley. Failure to return your receipt book may result in future ineligibility to
      participate in Artists Alley.
  15. No power. Electrical power is unavailable to artists in Artists Alley. The power boxes in the floor under Artists Alley are disabled- tampering with these devices is dangerous, and
    may result in injury, as well as removal from the Artists Alley and/or the convention. Please note that unplugged Uninterruptible Power Supplies (UPS) will make a very obnoxious alarm that will give the IT professional managing Alley techie-flashbacks,
    so please don't use them if they're noisy (see rules regarding excessive noise in Alley)
  16. Quiet claws. Items generating an unacceptable noise (by volume or nuisance) are prohibited. This includes portable stereos, computers, handheld game units, etc. Repeated complaints
    of excessive noise may result in removal from Artists Alley.
  17. Limited carry. Due to union regulations, artists may bring in only what you can carry on your own, or in a small 2-wheeled luggage case. As a general rule: if the case will fit in an
    airplane's overhead bin, it is acceptable. However, per the rule above, it must be completely emptied onto your table. If you have more material than this, you should consider a Dealer Table rather than a presence in Artists Alley. Note that
    everything you bring in with you must leave via the check-out line immediately following the closing of Alley
  18. No tips. Please note that because no money is permitted to change hands between artists and customers, tip jars are also not permitted in Artists Alley.
  19. Work it out. Anthrocon does not and cannot become involved in disputes between buyers and sellers in Artists Alley. Anthrocon's role is limited exclusively to processing payments on
    consignment. It does not imply endorsement of or responsibility for any party. Due to past abuses by certain parties, it is your responsibility to obtain proof of delivery for any artwork that is to be mailed or delivered after the
  20. Explicitly Prohibited Items. The following items are explicitly prohibited from sale in Artists Alley:

    • Illegal arts. Items that are illegal in the United States or in the Commonwealth of Pennsylvania (items such as firearms, alcohol, or other restricted items regardless of possession
      of permit(s), or items such as obscene materials involving minors) may not be sold at any time in the Artists Alley.
    • Adult "things". Items of a distinctly adult nature whose primary purpose is functional rather than artistic are prohibited (if you do not know what that means, please contact
      us and we will blush a bunch and then explain).
    • Weapons. Sale of weapons of any sort is expressly prohibited in Artists Alley.

      • This includes Nerf Guns, and any other sort of device designed to launch a projectile, regardless of artistic modification to same.
    • Animal Parts. For health/safety reasons, sales of any object containing any actual part of a real animal, (e.g real fur/skin, actual rabbits' feet, teeth/fangs, etc.) is prohibited.
    • Shineys and noisies. Flashing/rotating lights, sound generators or other excessively annoying displays are prohibited. Video soundtracks or other audio need to be kept at such
      a volume that they do not annoy customers or other artists. Artists Alley Management and staff have the final authority on what does and what does not constitute an annoyance.
  21. No smokey! Smoking, vaping, and e-cigarette use is strictly prohibited in the entirety of the David L Lawrence Convention Center. Furthermore, no items that generate an open flame or
    excessive heat may be employed.
  22. No roughhousing! Roughhousing, shenanigans, or tomfoolery are strictly prohibited in the Artists Alley. This includes the use of any squirt guns, "Silly String" or any other projectile-type
    toy. Anthrocon is not responsible for injuries, breakage or loss incurred by or caused by any artist or attendee.
  23. Be chill. Anthrocon Artists Alley staff reserve the right to refuse service to any person or entity. Disruptive behavior, ignoring or attempting to circumvent the rules, violation of
    the Anthrocon Standards of Conduct, or belligerance and/or harassment of any attendee, staff member, or director is strictly prohibited, and will not be tolerated. When dealing with individuals who have been warned and are not amenable to
    correction of their offending behavior, Artists Alley Management is empowered to take appropriate action to remedy the situation. This applies to artists, as well as customers/attendees, and any indivdual in Artists Alley. If Anthrocon's management
    and/or a David L Lawrence Convention Center official is forced to eject an artist or any other person due to violations of the rules, no refund will be given of any membership or table fees, per Anthrocon's Standards of Conduct.
  24. Trademark claws. No items may be produced or sold that bear the name "Anthrocon" or the Anthrocon logo. "Anthrocon" and the Anthrocon logo are registered servicemarks of Anthrocon,
    Inc. Trademark law requires that we prohibit either of these from being used without being formally licensed by Anthrocon, Inc. Such a license agreement requires Anthrocon to request a licensing fee, and also that we pre-approve the use of
    our servicemarks before items bearing them are produced. Questions should be directed to Artists Alley Management.
  25. Invention. Anthrocon reserves the right to change, amend, or modify these rules at any time without prior notice. We will make a good-faith effort to include all non-trivial changes
    (e.g things other than typographical/date updates) in the change/revision log at the end of the page.
  26. Questions? If there are any questions about what items might be permissible, please contact the Artists Alley Manager (see contact page).
    The Artists Alley Manager's rulings may be appealed to the Convention Chairman, whose ruling shall be considered final.
  • Because artists may sit in Artists Alley for varying lengths of time, it is incumbent upon the individual artist to maintain contact with his or her customer(s), and vice-versa.
  • Artists Alley staff and Anthrocon cannot be held responsible for communications between artists and customers (i.e. for returning sketchbooks, commission status, etc.).
  • We provide a small bulletin board for notes between artists and customers, but ultimately the responsibility lies on the artists and customers.
  • When possible, we may provide other tools to assist with artists keeping in touch with their customers, such as a contact exchange card.
  • Unless Artists Alley is given explicit permission to give customers an artist's contact information, when a customer is seeking an artist, Artists Alley staff will make a reasonable attempt to contact the artist with the customer's contact information as time permits.
  • Anthrocon's Artists Alley staff will never give out an Artists contact information without express permission from the artist to do so.
  • We respect your right to privacy, and will make every effort to keep your contact information private.
  • Artists Alley can often be fairly busy, even behind the counters, so there's often not much time to act as proxy contacts for customers and artists.
  • Please do your best to track your customers, and supply them with a means to contact you.

--To make a sale in the Commonwealth of Pennsylvania, a vendor (defined as a person collecting monies for the sale of merchandise or services) must have a Pennsylvania sales tax license, and additionally must be registered with local authorities
through the convention center for a vendor's permit.

--The fees for these vendor's permits are charged to the convention and the permits are currently limited in number. There would not be enough for everyone, and the costs associated with obtaining additional permits to cover all Alley artists
would be prohibitive. We could not conduct Artists Alley in the traditional fashion without charging exorbitant fees to the artists and compelling them to register for a license to collect sales tax.

--In order to allow for sales in Artists Alley, we have implemented the following consignment-based system:

  • Anthrocon, Inc. will function as the centralized consigner for the entirety of Artists Alley, selling the items there on a consignment basis.
  • We will collect payment from customers, and the necessary sales taxes, and will distribute the funds to the artists LESS A 5% COMMISSION ON NET SALES.
  • Anthrocon is thus responsible for keeping the paperwork in order and for filing the tax forms, and everything is kept legal.

    • The advantage to the artist is that Anthrocon is able to guarantee check payments, and is capable of accepting credit and debit cards cards for payment.
    • At the end of each day, the artist walks away with cash in hand for all sales that day.
    • Note that Artists Alley staff are NOT tax professionals, and are not allowed to provide tax guidance to you. This includes providing information regarding filing taxes based on taxable income earned through Artists Alley.
  • Due to the strictness of local and Pennsylvania laws regarding our merchants, we absolutely cannot allow the direct exchange of monies for merchandise or services within the Artists Alley, or within any other area under the control of the convention,
    except by Anthrocon, Inc.
  • Anyone found in violation of this rule may be subject to losing Artists Alley seat privileges for a period of time. Further violations may result in expulsion from Artists Alley or from the entire convention.

    • All decisions of this nature will be carried out by the Director of the Anthrocon Artists Alley or by Artists Alley Management as designated by the Director.
    • Additionally, if such a violation occurs in the presence of a state or local official who has come to monitor our activities, the responsible party will be solely responsible for fines or other legal penalties that may be imposed.

--We apologize if this process seems inconvenient or convoluted, but the alternative is to require all artists to obtain sales tax licenses and costly permits on their own, or to forbid any sales from taking place whatsoever.

  1. After you are told you have a seat in the Alley, you will be issued a receipt book and a sheet of barcodes, all showing the same number - this is your artist number, unique to you for the weekend, which we will use to track your sales all weekend long.
    The book will be returned to us at the end of each day; do not lose the barcodes. Each receipt is in three parts -- white, yellow, and pink. There is a cardboard tab that you can place under each pink copy to keep the writing from going
    through to the next.
  2. When a customer wishes to purchase a print or sketch, place a barcode sticker on the yellow AND pink copy (do not cover anything if possible), write out a receipt on the white copy, pressing hard enough to make sure the yellow and pink copies are made
    (make sure the cardboard separator is placed behind the first pink copy, so as not to mess up future receipts). Include YOUR NAME, the day of sale (top right), the title or number of the piece(s) (or some other way by which you can identify
    it) and the sale price. Do not total the sale, the register will do this. Tear off the yellow & pink copies. Keep the white one in the book and give the pink and yellow copies to the customer. Again, KEEP the white copy, GIVE the pink
    and yellow copies.
  3. Send the customer to the cashier. We will total the purchase and add 7% sales tax. We will keep the pink slip and will give the customer a cash register sales slip. It will help to minimize lines if you suggest to the buyer that he make his rounds of
    the room and take all of his receipts to the sales table at one time.
  4. The customer will give you the cash register receipt. The PAID stamp is your proof that the item was paid for. If they do not have a cash register receipt, DO NOT give the customer his merchandise - there is a chance that we do not have record of the
    sale, and you will not receive payment from us if we do not have proof of sale. Keep the cash register receipt along with the white copy of the receipt. Give the customer his art, letting him keep the yellow slip.
  5. If you are taking a commission or are in any other way planning to deliver the artwork to the buyer after the convention, you must obtain proof of delivery! This will protect you in the event a buyer claims that the artwork was
    not received.

  1. Payments to artists will be made at the end of each day immediately after Artists Alley closes.
  2. In order to pay you, it may be necessary to cut off processing sales prior to the official closing time. This allows us to finish processing the remaining customers for that day so that we have an accurate sales report. We will endeavor to make this announcement
    numerous times, however we cannot guarantee that your customers will be able to pay on the same day that they got paperwork from you, if they wait til the last minute to try and check out. If this happens, customers have the option to
    come back and pay on the following day, and you will get paid on that day for that sale. If this happens Sunday evening, the customer's sale may NOT be processed, and you should not deliver their art to them unless they give you a white
    register receipt. We understand this can be a hassle, however in order to get you paid, there are times when we MUST cut off the lines. Otherwise, customers would continue to queue up for over an hour after closing, and you would have
    to wait that long without getting paid. We cannot process payments to artists without a sales report, which cannot be generated until we have stopped selling things to customers.
  3. If you wish to check out of the alley before that, you will have to wait until the end of the day to receive payment.

    • Exceptions may be made for extenuating circumstances; contact the Artists Alley Manager if you have any questions.
    • If you do check out early, we suggest that you check to make sure you have a "paid" sales slip for each white receipt; if not, you may still have a buyer waiting, which will cause payout discrepancies. Anthrocon will not pay you for transactions for which
      we have not yet received customer payment.
    • No payments will be made in the 1-hour period prior to closing! Alley staff are extremely busy during that time. Absolutely no exceptions.
  4. You must have your total of sales for that day added up as soon as possible so we can vet your records against ours, and expedite the cash-out process.
    • To expedite the process, Artists Alley Staff will go down the line and pre-check your totals against our records. PLEASE HAVE YOUR WHITE REGISTER RECEIPTS (and white slips) TOTALLED UP.
    • In cases where Anthrocon's numbers don't match your numbers, we will ask you to move to the reconciliation line.
  5. Return your receipt book to the Artists Alley Staff processing your payment.
  6. At the "Fast-Cash" desks, please have your total sales information ready to double check against our records one last time.
    • Artists Alley Staff will verify your totals against our records (which should already match).
    • We will pay you in cash for the total, minus a 5% commission that will help to defray Anthrocon's costs.
  7. At the reconciliation desk, please have your white and/or yellow receipts ready.
    • We will compare our pink copies against your white ones. If we are missing a pink copy, "paid" yellow sales slip or matching register receipts are proof that payment was made to us from your customer.
    • Once we have agreed upon a total amount of sales, we will pay you in cash for the total, minus a 5% commission that will help to defray Anthrocon's costs.
